Courier service for business: how small business delivery services are actually priced, what business couriers uk compete on, and why there is no single best courier service in uk

Business shipping is sold on contracts rather than price lists, which is why comparing published figures gets a small business almost nowhere. Of the sixteen companies in this record, four publish a price at all and none of them publishes a business rate. What can be compared is the structure of what is on offer, and the questions that determine whether a contract is actually good are the same across every carrier.

Every figure below is quoted from the company's own published page with the date it was read. Surcharges, cover above the free compensation limit and any customs charge at the destination are added on top of all of them.

How to compare business courier contracts properly

  1. Establish your real profile first. Average weight, average dimensions, monthly volume and destination mix. Without those four numbers no quote you receive is comparable with another.
  2. Ask for the surcharge schedule, not the headline rate. Fuel, remote area, oversize, re-weigh and residential surcharges are where a cheap contract becomes an expensive one.
  3. Check the volume commitment and what happens if you miss it. Many rates are conditional on a monthly minimum, and falling under it can reprice the whole month rather than the shortfall.
  4. Test the claims process before you need it. Compensation limits, exclusion lists and the evidence required for a claim vary far more between carriers than the rates do.

Why published prices tell a business almost nothing

The four published figures in this record are consumer facing: Royal Mail at 3.95 pounds for a 2nd Class Small Parcel bought online, Evri at 3.52 for its 1 to 2kg Small band, Parcel2Go's 2.39 pounds headline and Parcelforce's ladder from 11.95 pounds up to 5kg.

A business sending a few hundred parcels a month is not buying any of those. It is buying a negotiated rate card whose numbers are not published anywhere, and whose value depends on a surcharge schedule that is negotiated separately and frequently not mentioned at all in the initial conversation.

What actually drives a business rate

Four things. Volume, because it determines whether you are worth a dedicated collection. Consistency, because a predictable daily handover is cheaper to serve than a lumpy one. Average weight and dimensions, since these set which band most of your traffic falls in. And destination mix, because a domestic profile and an international one are priced by different parts of the business.

Carriers will quote from those four numbers. Having them ready and accurate is the difference between a real quote and an indicative one that changes after the first invoice.

There is no single best carrier

The question does not have a stable answer because carriers are not equally good at the same things. Some are strongest on domestic economy volume, some on next day guarantees, some on European road, some on long haul express, and their surcharge schedules differ in ways that suit some profiles and punish others.

The practical approach for most small businesses is two carriers rather than one: a low cost network for the bulk of ordinary traffic and a premium one for time critical or high value consignments. That also removes the single point of failure that a sole carrier relationship creates during peak weeks.

Where small senders should start

Below roughly a hundred parcels a month, a broker is usually better value than a direct contract, because it aggregates volume across many senders and passes some of the benefit on. That is the model the booking platforms in this record run on, and it is why they can publish figures like 2.39 pounds at all.

Above that level, direct contracts start to compete, and above a few hundred a month they usually win. The transition point depends more on consistency and destination mix than on raw volume, so it is worth pricing both once you are near it.

Questions people ask about this

What is the best courier service in the UK for a business?
There is no stable answer. Carriers differ in what they are strongest at and in their surcharge schedules, so the right choice depends on your weight, dimensions, volume and destination mix. Most small businesses do best with two carriers.
How are business courier rates set?
By negotiation from your volume, consistency, average weight and dimensions, and destination mix. None of the sixteen companies in this record publishes a business rate.
Should a small business use a broker or a direct contract?
Below roughly a hundred parcels a month a broker usually wins, because it aggregates volume. Above a few hundred a month direct contracts normally win.
What should I check beyond the headline rate?
The surcharge schedule, the volume commitment and what happens if you miss it, and the claims process including compensation limits and exclusions. These vary more between carriers than the rates do.
